Free Inventory & Sales Spreadsheet Template
Selling handmade or resale products across marketplaces, your own website and markets means fees, shipping and stock are scattered everywhere. An inventory spreadsheet pulls them together so you know what is in stock, what to reorder and what each order really earned.

What’s in the free template
This free inventory spreadsheet template is the lite version of our Online Seller Inventory & Profit Tracker. Add your products with unit cost and price, log each order, and the sheet subtracts stock, applies the fee for that sales channel and calculates net profit and margin per order.

Yellow cells are your inputs and blue cells are protected formulas, so nothing breaks while you type. Example data is included so you can see the results immediately — replace it with your own numbers when you are ready.
How to use this inventory spreadsheet template
Set up your channels
On Settings, list where you sell and enter each channel's % fee, fixed fee per order and payment-processing %. Check each platform's current fee page — they change.
Add your products
On Products, enter SKU, name, category, unit cost (materials + packaging), list price, opening stock and a reorder level.
Log every order
On Sales, enter the date, SKU, channel, quantity, price, shipping charged, your shipping cost and any discount.
Watch stock status
Units sold and stock on hand update automatically; items at or below the reorder level are flagged Reorder, and zero stock shows Out of stock.
Check profit per order
Net profit and margin show for every row. Loss-making orders turn red — usually a sign that shipping or fees are not priced in.
Tips for better results
- Include packaging, labels and card fees in unit cost so margin is honest.
- Fees on shipping charged are easy to forget; the template applies the % fee to revenue including shipping.
- Count stock monthly and correct the Restocked column if the sheet and the shelf disagree.
Opening the file in Excel or Google Sheets
Microsoft Excel: open the downloaded .xlsx file directly — Excel 2010 or later on Windows or Mac works. If you see a “Protected View” bar, click Enable Editing.
Google Sheets: go to Google Drive, choose New → File upload, then open the file and pick File → Save as Google Sheets so you can edit and share it. LibreOffice / Numbers: open the file as normal. No macros, add-ins or internet connection are needed.
